DSE Manager
|
|
"DSE Manager" for Windows enables
you to perform DSE Risk Assessments with speed and efficiency across a network.
DSE Manager will help people responsible for assessing computer workstations
and Display Screen Equipment (DSE) reduce the time and effort it takes to
assess them.
DSE Assessment is a legal requirement and must be done for all computer
users in UK companies. DSE Manager makes this task much quicker and
easier than any paper based system. It will reduce the time you
spend doing DSE Assessments and will save your valuable resources in
both effort and money.
Assess all workstations from the comfort of yours. Let DSE Manager
do the hard work while you wait for the results to come to you.
In essence DSE Manager will:
- Perform self-assessments more easily than any paper based system.
- Automatically chase up people who do not fill in assessments.
- Save assessment data to the network for later analysis.
- Highlight people at risk using a powerful search engine.
- Record and display action needed to reduce the risks.
- Provide instant access to assessment history for reports and action.
- Automatically supersede old assessments
With DSE Manager on your network, the hard work involved in DSE Assessments
is taken off your hands now and in the future. Don't make hundreds of
appointments with all your computer users, just make one with DSE
Manager.
Don't just do DSE Assessments,
manage them.
What will DSE Manager do for you?
DSE Manager provides an important step in making DSE assessment less time
consuming and less frustrating.
DSE Manager will allow users to perform DSE Assessments at their computer
and will chase them up until they complete their assessment form. It will
then allow you to analyse the electronic assessment forms from your own
computer using a powerful search engine which will highlight the people
at risk.
DSE Assessment will become a much more manageable task as the old tedious
and time consuming paper based process is removed and a new efficient process
starts. You can be in control of your DSE Assessments from your own desk
and with a minimum of effort and time.
DSE Manager saves you and your company time and money and will continue
to give you benefits into the distant future. Your job can become more about
fixing problems than gathering information about them so you will have a
bigger impact and success rate.
Your responsibilities for DSE Assessment
Legal responsibilities
It is a legal requirement that the Display Screen Equipment and workplace
of every computer user is assessed for risk. In the UK this is Regulation
2 of the Health and Safety (Display Screen Equipment) Regulations 1992.
The principal risk areas associated with DSE are musculoskeletal problems,
visual fatigue and mental stress. More specifically the risks include Repetitive
Strain Injuries (RSI), Work Related Upper Limb Disorders (WRULD), back pain,
neck pain, eye strain, headaches, migraines, fatigue, stress and facial
dermatitis (dry skin).
All of the known health problems associated with DSE work can be prevented
by good design of the workstation, taking regular breaks from computer work
and by training in good computer use.
Risk assessment should identify hazards and their associated risks. These
risks should then be analysed to determine if they are significant and to
see how they can be reduced. Analysis should include checking for desirable
features and well as eliminating undesirable features. The questions in
DSE Manager allow these different hazards and risks to be recorded and assessed.
Any assessment should be systematic to include all areas of risk and the
behavioural causes of that risk. It should also be comprehensive so that
it covers company structure, job, workplace and individual factors. That
is why DSE Manager provides a systematic assessment which can be tailored
to each company and the type of work it does.
The regulations permit electronic assessments to be performed and the results
recorded electronically.
It is essential that assessment information is gathered from users and DSE
Manager provides the best method of doing this. This is because subjective
factors such as comfort are of primary importance. The form of the assessment
should be appropriate to the nature of the tasks undertaken and in some
cases the results of the assessment will prompt further investigation.
Shared workstations:
Where workstations are used by more than one person, the workstation should
be analysed in relation to each person. Ideally an assessment will be done
for each person, which is easy to do with DSE Manager.
Homeworkers:
If an employee is required to work at home (even if the workstation is not
provided by the employer) an assessment should be done.
Social and Company Responsibilities
While doing assessments is a legal requirement, this should definitely not
be the only reason for doing the assessments. Employees could be suffering
because of the arrangement of their workstation and their work will be suffering
too. A healthy workplace is a productive workplace and the way to get a
healthy workplace is to assess the risks and reduce them. By reducing the
risks, you will be reducing the injuries, sick days and discomfort of employees
and so making your company more profitable and successful. You will also
be helping your colleagues feel better physically and mentally and making
the working environment a happier and better place to be.
By putting DSE Manager on your staff's computer you can demonstrate
you care for their welfare and are taking action to improve their health.
How frequently should assessments be done?
Assessments should be done whenever there are significant changes to the
workstation such as:
- New or major changes in hardware (screen, keyboard, mouse etc).
If the computer is merely upgraded to a faster model with everything
else staying the same, no re-assessment is needed.
- New or major changes in software.
- Major changes in workstation furniture.
- Major increases in time spent using the DSE.
- Substantial changes in output requirements.
- A relocation of workstation.
- Major changes in lighting.
Re-assessments should be done if the initial findings indicate significant
risks which have since been acted on.
Frequent assessments and re-assessments are no problem when you use DSE
Manager.
Reducing risks which are discovered
It is your responsibility to act upon the findings and reduce the risks
discovered from the assessment forms.
This could mean solving postural problems by adjusting or purchasing
equipment and furniture, more training for the user or providing break reminder
software such as ScreamSaver.
Visual problems can similarly be tackled by repositioning and cleaning
screens, reducing glare and using ScreamSaver.
Fatigue and stress may need changes in workstation, work routine
and software design. Or of course, you could use ScreamSaver.
The most common actions to reduce the risks are (in order of most common
to least common):
- Moving the screen to reduce glare
- Providing anti-glare screens
- Providing an adjustable chair
- Ensuring the screen could swivel and tilt
- Providing a window cover to prevent glare
- Providing a foot rest
Cheap solutions can make massive differences to comfort and
productivity.
Access to health and safety information
It is a requirement to provide users with access to training and information
which will enable them to perform their work in a healthy and safe way and
to appreciate the benefits of adopting good computer practices. Continuous
training of good practices and provision of information can be obtained
by using ScreamSaver and its associated help
manual.
